Sherborne International Summer School uses our specialist course booking and school management platform, Resirva - a purpose-built system for language schools and international course providers that moves the entire enrolment process online. Beyond simple booking functionality, the system captures data at every stage of the application and uses it to automate administration, reporting, communication, finance and academic management.
The challenge
Sherborne runs highly regarded Easter and Summer programmes for international students, combining English language tuition with a broad academic and co-curricular offering. Manual data entry across spreadsheets and documents increased the risk of errors and limited reporting visibility.
The complexity of managing multiple courses, accommodation arrangements, subject choices, travel details, medical information, and agent bookings meant that their largely offline admissions process was time-consuming and vulnerable to data inconsistencies.
Sherborne wanted to bring the entire summer school operation online using trusted, specialist software that had already proven its ability to solve these challenges within the language school sector.
The solution needed to streamline admissions, improve data integrity, support agents, and provide comprehensive management tools, without compromising the premium experience expected from a leading UK independent school. Our Resirva software was the obvious choice.

Bringing the summer school online
The entire summer school operation, from course configuration to accommodation options, is managed within Resirva’s administration environment. Course details, pricing, availability, and logistics are entered once and then used to power the public-facing application process. Applicants can browse live course information on Sherborne’s main brochure website before beginning their application on the separate Resirva platform. Resirva offers two payment tiers: Standard and Pro. Sherborne chose the Standard tier, which provides a standalone application process that runs alongside the existing school website, while the Pro tier builds a fully integrated website for end-to-end management. This approach allowed Sherborne to digitise applications quickly and efficiently without redesigning their main site, maintaining a familiar experience for applicants while centralising enrolment management.

A simple two-stage admission process
To reduce friction and accelerate decision-making, admissions are structured into a clear two-stage process: application and enrolment. During stage one, applicants submit only essential information required for assessment. Resirva automatically evaluates this data against predefined criteria such as age, nationality, and English level, generating a recommendation for the admissions team to review. Successful applicants are automatically invited to proceed to stage two, where they confirm their place by paying a deposit or full fee online and providing additional required information. Unsuccessful applicants are notified automatically.

Communicating with applicants
Resirva automates standard communications including confirmations, reminders, invoices, and visa letters, ensuring messages are sent promptly and accurately without manual intervention. For individual cases, bespoke emails can be generated directly within the system, with a full communication history retained against each enrolment record.

Flexible course structures
Resirva allows Sherborne to configure and manage multiple course blocks entirely within the CMS. Different academic themes, seasonal variations (Easter and Summer), and optional subjects can be created, edited, and reused year on year to form a scalable course library. Courses can be duplicated and adapted for future programmes, ensuring efficient setup for each intake.

Online application process
The online application captures all essential student information, including course selections, parental permissions, travel details, and medical data, in a structured and secure format. The process is designed with usability in mind, providing a user-friendly, step-by-step checkout that guides applicants through each stage with clarity and ease. Clear instructions, progress indicators, and logical grouping of information ensure families can complete their applications confidently, reducing errors and incomplete submissions.

Detailed and accurate reporting
Every interaction within the application and enrolment journey feeds structured data into Resirva’s secure database. This enables detailed reporting across booking status, course registers, accommodation allocation, travel and transfer lists, and full financial summaries. Offline enrolments can also be recorded to maintain data completeness, and agent bookings are managed within the same system. Reports can be filtered and exported as CSV files for further analysis.

Integrated payment methods
Payments are processed securely via an integrated payment gateway during checkout. Alternative payment methods such as bank transfer are manually recorded within the system to maintain complete financial records, with prompts ensuring no data is missed. Integration with Flywire is also supported, enabling enhanced international payment reporting.

Teacher portal
A dedicated teacher portal connects academic staff directly to Resirva’s central data. Teachers can complete digital registers, automatically updating attendance records in real time. They can issue merits, which are recorded against student profiles and visible to academic leaders. End-of-course reports are written and submitted within the system, with academic heads able to monitor progress, moderate submissions, and add comments.

Agent portal
Resirva provides a dedicated portal for agents, who act as intermediaries by submitting applications on behalf of their students. Through this secure login, agents can manage multiple student applications, track enrolment progress, and access real-time status updates. This streamlines communication and reduces manual follow-up, while ensuring all data entered by agents is accurately captured in the school’s central database.
